AI Tools for Small Business: A $100/Month Stack That Replaces Three Contractors

A practical, priced AI toolkit for small businesses — marketing, customer support, bookkeeping admin, and sales — with what to adopt first and what to skip.

Small businesses have the clearest AI opportunity of anyone, and the least time to figure it out. The owner is the marketing department, the support team, and the bookkeeper — so anything that removes two hours a week compounds immediately.

This is a stack we'd actually recommend to a ten-person company, with prices.

Admin is where small businesses lose the most hours.

Start with one question

Not "what can AI do?" but "what did I do more than three times last week that I resented?" That's your first automation. Everything else is procrastination dressed as strategy.

Marketing and content — ~$20/month

One assistant subscription (ChatGPT or Claude) covers most of it:

  • Social posts and captions from a single product update.
  • Email newsletters from your week's activity.
  • Website and product copy.
  • Responses to reviews, in your own tone.
  • Local SEO content — genuinely useful if you serve a geographic area.

Add Canva (~$15/month for Pro) for design, templates, and brand kit. Between them, you have a marketing department that costs less than one freelance blog post.

Practical tip: write one 400-word document describing your business, customers, tone, and what you never say. Paste it into every prompt. Output quality roughly doubles.

Customer support — ~$0–30/month

Start with the free version: an AI-drafted reply queue. Your existing helpdesk almost certainly has AI suggestions built in — turn them on before buying anything.

Then build a proper FAQ document. Most support AI is only as good as the source material, and a well-written FAQ improves both the bot and your website.

Do not deploy a fully autonomous customer-facing chatbot until you've read a hundred of its draft replies. The reputational cost of one confidently wrong answer to a customer exceeds the saving.

Sales and CRM — ~$0–20/month

  • Lead follow-up drafts from call notes or form submissions.
  • Enrichment: AI researches an inbound lead's business and gives you three talking points before you call.
  • Proposal drafting from a template plus meeting notes.

HubSpot's free CRM plus an assistant covers this for most small businesses.

Admin and bookkeeping — ~$0–20/month

The unglamorous, highest-ROI category:

  • Receipt and invoice data extraction into a spreadsheet.
  • Contract and quote drafting from templates.
  • Meeting notes and follow-ups.
  • Scheduling and inbox triage.

An automation platform like Zapier (free tier, or ~$20/month) stitches these together. See our 12 automation workflows for buildable examples.

Important: AI is not your accountant. Use it to prepare and organise, never to decide tax treatment.

Design and socialCanva Pro$15
AutomationZapier$0–20
Meeting notesFathom free / Granola$0–18
Bookkeeping AI featuresYour existing accounting app$0–20
Total$35–95

Against the cost of a part-time marketing freelancer, a VA, and a bookkeeper's admin hours, that's not a close comparison.

What to skip

  • Bespoke AI development. Unless AI is your product, buy tools.
  • Enterprise platforms. You're paying for compliance features you don't need.
  • Anything with an annual contract before a trial.
  • Autonomous outbound email. Deliverability and reputation risk outweigh the volume gain.
  • AI-generated testimonials or reviews. Illegal in many jurisdictions, and always a bad idea.

Rolling it out without chaos

  1. Week 1: one assistant subscription. Use it daily for real work.
  2. Week 3: write your business context document.
  3. Week 5: add design or meeting notes, whichever hurts more.
  4. Week 8: build your first automation, with a human approval step.
  5. Quarterly: cancel anything you haven't opened in a month.

That last rule matters more than it sounds. Subscription creep is how a $60 stack becomes $400.

Shield representing customer data protection for a small business using AI tools
Customer data deserves the same care at ten customers as at ten thousand.

Data and customer trust

Even at small scale: don't paste customer personal data into consumer AI tools, check whether your plan excludes your data from training, tell customers if a bot handled their conversation, and keep a human path available for anyone who asks.

Getting this right early is far cheaper than fixing it after a complaint.
